Reconcile the academic record
A planning tool can flag a problem without having authority to resolve it.
- Program and catalog yearConfirm the major, minor, concentration and governing catalog recorded by the institution.
- Remaining requirementsMatch each course, credit, residency, GPA and non-course requirement to the term when it will be completed.
- ExceptionsLocate approved substitutions, waivers, transfer evaluations and pending grade changes in writing.
- ApplicationSubmit the graduation application by the institutional deadline even when commencement registration is separate.
- Completion riskAsk which current course, incomplete, hold or administrative item could delay degree conferral.
Ask the office with authority
Different parts of graduation belong to different owners.
- Who certifies the degree?Identify the registrar, college or department responsible for final clearance.
- What does the audit not show?Ask about manual reviews, pending transfer work, substitutions and non-course requirements.
- When is completion final?Distinguish last class, commencement, conferral date and transcript or diploma availability.
- What continues after graduation?Check email, library, software, career services, housing, health and transit end dates.
Close the nonacademic handoffs
Build a dated owner for each transition instead of one graduation checklist.
- Resolve holdsIdentify the office, amount, document or action needed and whether the hold blocks registration, transcript or diploma access.
- Complete loan counselingFederal student loan borrowers leaving school or dropping below half-time should use current StudentAid.gov and school instructions for required exit counseling.
- Export recordsSave permitted work samples, contacts, advising notes and unofficial records before account access changes.
- Update contact informationGive the registrar, loan servicer, employer and other authorized services an address and email you control.
- Separate ceremony logisticsTreat tickets, attire, accessibility, travel and photography as event tasks, not proof of degree completion.
Keep one unresolved-items record
For every open item, record the requirement, source, responsible office, person contacted, evidence supplied and next date. If advice conflicts, ask the office with authority to confirm the answer in writing.
