Set up accounts in dependency order
Some services require deposits, appointments or access to the unit.
- Before move-inAsk which services the property controls, which require tenant accounts and the required activation date.
- Appointment windowSchedule internet or utility work only when an authorized person can enter.
- First dayPhotograph meters when accessible, test service and record equipment received.
- First two billsCompare actual charges with deposits, activation fees, promotions and the roommate split.
Separate fixed, variable and pass-through charges
The split can be fair only when the charge type is visible.
- Fixed serviceInternet or trash may be the same regardless of use; divide it by the agreed occupancy rule.
- Measured useElectricity, gas or water can vary with habits, weather and building efficiency.
- Account-specific feeDecide who covers late, returned-payment or equipment fees caused by one account holder’s action.
- Property allocationAsk how shared-building utilities are calculated when the unit does not have its own meter.
- Introductory priceRecord when a broadband promotion ends and the regular monthly rate shown on the consumer label.
Write the roommate billing rule
A simple rule prevents the account holder from becoming the household collector.
- Named ownerRecord whose name is on each account and who can contact the provider.
- Statement accessShare the bill or a complete charge summary before requesting payment.
- Payment timingSet roommate transfers early enough for the official due date.
- Move-out transferPlan final readings, equipment returns, refunds and account closure before anyone leaves.
Protect access without sharing credentials
Do not circulate the account holder’s password. Use provider-authorized users when available and keep billing records in a shared folder that does not expose bank or identity information. If the household changes, update the split in writing instead of relying on the original headcount.
