Four weeks out: collect the record
Ask the school and current clinicians what must be documented, then allow time for processing.
- School requirementsCheck immunization, tuberculosis screening, athletics, clinical-program and health-form deadlines.
- Insurance decisionCompare the student plan with existing coverage for the campus location, network, prescriptions and emergency care.
- Ongoing treatmentAsk the current clinician how refills, monitoring, referrals and records will work across state lines or during travel.
- Accommodation processContact the college office early; postsecondary students generally must request adjustments and provide required documentation.
Build a private health summary
Keep a concise record the student can access without searching family messages.
- MedicationNames, doses, prescribing clinicians, pharmacy information, refill dates and safe storage needs.
- Conditions and allergiesThe information a new clinician or emergency responder would need, in the student’s own words.
- CoverageInsurance card, member portal, in-network urgent care and the number for coverage questions.
- ContactsCampus health, counseling, after-hours advice, local pharmacy and chosen emergency contact.
Know which door to use
Match the problem to the service before stress makes every option feel the same.
- Campus healthRoutine illness, minor injury, immunization records, sexual health and referrals offered by the school.
- Counseling servicesShort-term mental health support, crisis pathways, groups and referrals; learn the scope before assuming ongoing care.
- Local urgent or emergency careAfter-hours needs, serious symptoms or services the campus cannot provide; confirm transport and insurance network.
- Accessibility officeAcademic, housing or communication adjustments; health services do not usually approve classroom accommodations.
Finish the handoff
The student should be able to complete these actions independently before move-in.
- Open the portalsSign in to insurance, patient, pharmacy and accessibility systems.
- Request what is missingSubmit records and ask for written confirmation when a requirement is cleared.
- Schedule the next actionPut the next refill, follow-up, lab or documentation renewal on the calendar.
- Plan urgent accessKnow where to go, how to get there and who should be contacted if the student cannot communicate.
